What is an aircraft dispatcher, and what do they do?

An aircraft dispatcher, also called a flight dispatcher, is an airline operations specialist who plans and monitors flights from the ground. They assess weather, routes, fuel, aircraft performance and operational restrictions, prepare or support the dispatch release, and help the captain manage delays, diversions and emergencies.

In Aviation & Real-World Flying, the dispatcher is best understood as the flight crew’s operational partner on the ground. Dispatchers normally work in an airline operations control centre rather than in the control tower, and each may monitor several aircraft at once.

What does an aircraft dispatcher do before take-off?

Before departure, the dispatcher turns aircraft, airport, weather and commercial information into a safe and workable flight plan.

  1. Validate the flight: Check the assigned aircraft, payload, airport limitations and relevant technical restrictions. Deferred defects recorded under the operator’s approved procedures may change the route, altitude, fuel requirement or airports that can be used.
  2. Assess operating conditions: Review forecasts, observations, winds aloft, significant weather, runway availability, airport notices and airspace restrictions. The dispatcher also determines whether departure, destination and alternate airports meet the applicable requirements.
  3. Choose the route and altitude: Build an efficient route while accounting for winds, weather, controlled airspace, aircraft capability and en-route diversion options. The shortest route is not necessarily the fastest or most economical one.
  4. Plan fuel and performance: Calculate or verify taxi, trip, contingency, alternate, reserve and additional fuel as required by the governing rules and airline procedures. Fuel categories differ between jurisdictions, and carrying extra fuel can reduce payload or increase fuel burn.
  5. Prepare the dispatch release: Issue or support the operational document covering the aircraft, route, destination, alternates, fuel and relevant restrictions. The captain reviews the plan and resolves unacceptable assumptions or discrepancies before departure.

Dispatch is a team function. Load control may produce the final weight-and-balance figures, maintenance control handles technical decisions, and a specialist system may calculate runway performance. The dispatcher integrates those outputs rather than personally performing every calculation. A dispatch release is not an air traffic control clearance. The release belongs to the airline’s operational-control process; the filed ATC flight plan requests a route, and ATC may subsequently clear the aircraft differently. Significant route or fuel consequences must then be checked by the crew and dispatch.

What does a dispatcher do after the aircraft departs?

Once the flight is airborne, the dispatcher monitors its progress and supplies information that could affect its safe continuation.

  • Track the aircraft against the planned route, time and fuel assumptions.
  • Watch for deteriorating weather, airport closures, runway changes and airspace restrictions.
  • Evaluate reroutes, holding, destination changes and suitable diversion airports.
  • Coordinate with maintenance control, ground stations, crew scheduling and other airline departments.
  • Support the crew during medical, security, technical or weather emergencies.

During a diversion, for example, dispatch can compare airport weather, runway suitability, fuel remaining, ground services and company support while the pilots concentrate on flying. The dispatcher provides options and coordination, but does not issue ATC instructions or control the aircraft.

Can an aircraft dispatcher cancel or divert a flight?

A dispatcher may delay, cancel, redispatch or recommend diverting a flight when the applicable regulations and the airline’s operational-control system give that role such authority.

For many scheduled airline operations in the United States, a certificated dispatcher and the pilot in command share defined responsibilities for planning, release and operational monitoring. The captain retains direct authority over the aircraft and may deviate when safety demands it. Other countries and types of operation divide these responsibilities differently, so “shared operational control” should not be assumed to apply everywhere.

Is an aircraft dispatcher the same as air traffic control?

No. An aircraft dispatcher works for the operator and considers the entire commercial flight, while an air traffic controller manages traffic and issues clearances within the airspace system.

The titles flight follower, flight operations officer and operations controller can also describe related jobs, but they are not automatically equivalent. A flight follower may monitor aircraft without sharing release authority, while an operations controller may manage broader fleet disruption. Job titles and legal responsibilities depend on the country, operator and type of operation.

Do aircraft dispatchers need to be pilots?

Aircraft dispatchers generally do not need a pilot licence, but they require detailed knowledge of meteorology, navigation, aircraft systems, performance, regulations and emergency procedures.

In the United States, positions carrying the regulated dispatcher function normally require an FAA Aircraft Dispatcher certificate. Other jurisdictions may use national licensing, approved training or operator-specific qualification instead. Recurrent training and competency checks are common, and some programmes include cockpit familiarisation.

The work also demands clear judgement under time pressure. Dispatch desks operate around airline schedules, including nights and weekends, and a dispatcher must recognise when an apparently efficient plan is no longer safe or legal.

How does aircraft dispatch work in a flight simulator?

In a flight simulator, one person usually performs both the dispatcher’s planning work and the pilot’s cockpit duties.

A generated operational flight plan should be treated as planning input, not accepted blindly. Check the aircraft variant, payload, units, runway, weather, alternate and fuel assumptions before copying the route into the avionics.
