How are passengers and baggage loaded onto an airliner?

How do passengers board an airliner?

Passengers board only after the parked aircraft and its access equipment have been made safe.

  1. Prepare the aircraft and access: Ground staff confirm that the aircraft is parked and secured before positioning a bridge or mobile stairs.   2. Process passengers at the gate: Gate staff scan each boarding pass, creating a record of who has boarded. Airlines call groups, zones or rows according to their own boarding method, while passengers needing assistance may board separately.
  3. Seat passengers and stow cabin baggage: Cabin crew direct passengers, monitor exit rows and ensure carry-on bags fit in an overhead locker or beneath a seat. Oversized bags are removed and gate-checked rather than forced into a locker.
  4. Reconcile the cabin: Gate and cabin teams resolve no-shows, confirm the boarded total and report relevant seat or cabin-zone changes. The passenger doors are closed only after boarding is complete and the required records agree.

How does checked baggage reach the hold?

Checked baggage follows a controlled chain from check-in or an arriving connection to the aircraft's assigned hold.

At check-in, a bag is normally weighed, tagged and sent into the airport baggage system for security screening and sorting. Its tag identifies the destination and routing. Originating and transfer bags are assembled for the flight, taken to the stand on baggage carts and checked against the flight's loading instructions.

A gate-checked cabin bag joins this baggage flow. It must be tagged, recorded and assigned to a hold; it is not simply passed through the passenger doorway into the lower deck.

Why are bags assigned to specific holds?

Bags go into positions selected by load control, not whichever hold happens to have spare room.

The loading plan accounts for aircraft operating mass, fuel, passengers by cabin zone, checked baggage, cargo and mail. Scheduled airlines often use approved standard passenger masses, while actual masses may be required for particular operations; checked bags are usually weighed. These figures determine the aircraft's zero-fuel mass, take-off mass and centre of gravity.

If handlers move bags, cargo or a ULD to another compartment, they must report the change. Load control then checks the new distribution and issues an amended loadsheet when required. The same applies to significant last-minute movement of passengers between cabin zones, particularly on lightly loaded aircraft.

Do checked bags have to match boarded passengers?

Airlines reconcile baggage records with passenger status, but the exact passenger–bag matching requirement depends on the route, jurisdiction and security status of the bag.

If a passenger does not board, staff may have to locate and remove that person's checked bag. An unaccompanied bag can travel only where the applicable procedures permit it and the required security controls have been completed. This is why removing one bag from a full hold can delay departure even after every other service has finished.

What usually delays passenger and baggage loading?

Most delays come from discrepancies or late changes that must be resolved before the aircraft can be released.

  • A passenger is missing: The gate team checks whether the person boarded under the wrong status, while the ramp team identifies any associated checked baggage and follows the required security procedure.
  • Overhead lockers are full: Remaining cabin bags are gate-checked, tagged and added to the hold records. Their mass and loading position cannot be ignored.
  • A bag count or scan does not agree: Handlers stop the close-out, rescan or recount the load and investigate unreadable or incorrect tags.
  • The planned hold becomes unavailable: Moving bags elsewhere requires load-control approval and may require a revised loadsheet.
  • A ULD, restraint or hold door is not secure: The item must be repositioned, locked or repaired. An animation, indication or timetable never overrides the physical security check.

What is confirmed before pushback?

Before pushback, the airline confirms that every passenger, bag and cargo item is accounted for and that all doors and loading equipment are clear.

The flight crew receives and accepts the final loadsheet, checks that mass and centre of gravity remain within limits, and uses the final figures for take-off performance. Cabin crew report the cabin secure; ramp staff confirm the holds are closed and equipment removed. Any load change after that point must be reported rather than silently accommodated.

How is loading represented in flight simulators?

Most flight simulators represent passengers and baggage as payload masses assigned to cabin and hold stations, while ground-service add-ons may also animate buses, stairs, baggage carts and loaders.

The main gotcha is that completed animations do not always mean the aircraft's payload has changed. Check whether the add-on writes masses automatically or expects the aircraft's payload manager or EFB to do it, then verify the total mass and centre of gravity before departure.
