Learn how pilots communicate with air traffic control, what they say, what must be read back, and how they handle errors or radio failure.
Pilots communicate with air traffic control mainly by two-way VHF radio, using assigned frequencies, aircraft call signs and standard phraseology. They listen before transmitting, identify themselves, state their position or status and request, then read back safety-critical clearances. On some equipped routes, controllers and crews also exchange text messages by data link.
In real-world aviation, ATC communication is a disciplined exchange rather than an open conversation. The vocabulary and mandatory readbacks vary slightly between countries, but the underlying process is consistent: transmit clearly, acknowledge instructions accurately and ask whenever anything is uncertain.
What does a pilot say to air traffic control?
An initial ATC transmission normally tells the controller who is being called, which aircraft is calling, where it is and what the pilot wants.
- Tune and listen: Select the published frequency on the correct COM radio, make it active and check the audio panel. Listen first so that an existing exchange is not interrupted.
- Call the station: Begin with the controller's name, such as Ground, Tower or Approach, followed by the full aircraft call sign.
- Give the relevant details: State the position, altitude or flight level, ATIS code and intentions when required. Omit information the controller already has.
- Release the push-to-talk switch: Keep the message brief, speak at a normal pace and listen for the response. A long transmission occupies the frequency for every other aircraft.
- Read back and comply: Repeat the safety-critical parts of the instruction with the call sign. If the readback is wrong, the controller will correct it.
A compact VFR call might be [Airport] Ground, G-ABCD, north apron, information Delta, request taxi for a VFR departure to the south. After a handover, an airborne check-in is usually shorter because the receiving controller already has the flight details.
This pattern is a guide, not a script for every situation. Pilots use standard words and phonetic pronunciation, but they should switch to plain language rather than remain silent when standard phraseology cannot express the problem.
Which ATC frequency do pilots use?
Pilots use the frequency assigned to the controller responsible for their present phase of flight, changing frequency whenever ATC instructs them to contact the next sector.

Before calling, pilots normally receive the weather, runway and operational information from ATIS where it is available. They then report its letter code instead of asking the controller to repeat the entire broadcast; see how pilots copy and use an ATIS transmission.
VHF radio is largely line-of-sight, so en-route flights are passed from one sector to the next. In remote or oceanic airspace, equipped aircraft may use HF radio, satellite voice or controller-pilot data link communications. CPDLC exchanges clearances and requests as text, but it does not universally replace voice, particularly for urgent instructions.
At an uncontrolled aerodrome there may be no ATC clearance at all. Depending on the country and facility, pilots make traffic broadcasts or communicate with an information service instead.
What must pilots read back to ATC?
Pilots must accurately read back instructions whose misunderstanding could create an immediate safety risk, although the formal list differs between aviation authorities.
- Take-off, landing, runway crossing and runway-holding instructions
- Assigned altitudes, flight levels, headings and speeds
- Taxi routes and runway designators
- Route and departure clearances
- Transponder codes, altimeter settings and frequencies where required
A readback should repeat the actual instruction, not the clearance the pilot expected to receive. Expectation bias is a common cause of incorrect altitude, taxi and runway readbacks.
Roger means that a transmission was received; it does not mean that a clearance will be followed. Wilco means “understood and will comply”, but it cannot replace a mandatory readback. A pilot should also avoid shortening a registration call sign until the controller has used the abbreviated form first.
How do pilots prevent radio communication mistakes?
Pilots prevent most radio errors by preparing the transmission, monitoring the frequency and writing down complex clearances before reading them back.
- Wrong radio selected: Confirm which COM radio is set to transmit and which frequencies are being monitored. Transmitting on COM2 while changing COM1 is a frequent simulator and cockpit error.
- Blocked transmission: Listen before pressing push-to-talk. If two aircraft transmit together, neither message may be intelligible, so wait and call again.
- Clipped words: Key the microphone before speaking and do not release it before the call sign is complete.
- Excessive speed: Standard phraseology saves time; rushing makes numbers and call signs harder to distinguish.
- Unclear instruction: Never guess. Ask the controller to repeat or confirm the specific item.
What if a pilot cannot understand or contact ATC?
A pilot who does not understand an instruction should say so immediately using short, unambiguous language.

For an apparent radio failure, the crew checks the volume, squelch, audio-panel selection, active frequency, microphone and push-to-talk switch. They may try the other radio, the previous frequency or the aeronautical emergency frequency. A complete communications failure is normally indicated with transponder code 7600, followed by the applicable VFR or IFR lost-communications procedure; the exact procedure depends on the country, airspace and clearance.
