How do you contact ATC step by step?

The basic sequence is to prepare the flight, obtain airport information, select the correct controller, tune the radio and make a short initial call.

  1. Prepare the flight. Know your callsign, departure airport, destination, flight rules and intended route. For IFR, load or file the route in the system used by ATC; entering it only in the cockpit GPS does not always create an ATC flight plan.
  2. Listen to ATIS or airport information. Note the runway, weather, altimeter setting or QNH, and information letter. Including the letter in your call tells the controller that you have the latest broadcast.
  3. Choose the correct facility. Use Clearance Delivery for an IFR clearance where available, Ground for taxi, Tower for runway operations, and Departure, Approach or Centre while airborne. At a smaller airport, one controller may combine several roles.
  4. Tune the radio. Put the published frequency into the active side of the radio expected by the simulator, commonly COM1. Check that it has not been left in the standby window and that the audio panel is transmitting on the same radio.
  5. Listen before calling. Wait until the frequency is clear. Transmitting over another pilot may block both calls, and a busy controller may not answer immediately.
  6. Make the initial call. State the facility, your callsign, position and request. Include the ATIS letter when relevant. With menu-based ATC, choose the prompt matching the request rather than speaking unless the simulator explicitly supports voice recognition.
  7. Copy and read back the instruction. Write down longer clearances, then repeat the important elements in the same order. If the controller corrects your readback, repeat the corrected instruction.
  8. Follow hand-offs. When told to contact another controller, read back the frequency, tune it, listen briefly and report your callsign and altitude or position as appropriate.

What should I say to ATC?

A useful initial-call formula is facility, callsign, position, information received and request.

For example:

Cambridge Ground, Golf Alpha Bravo Charlie Delta, south apron, information Bravo, VFR to the north, request taxi.

An IFR aircraft contacting delivery could use:

Bristol Delivery, Golf Alpha Bravo Charlie Delta, stand 12, information Charlie, IFR to Glasgow, ready to copy.

These examples show the structure rather than a universal script; wording varies by country, controller and simulator. Use your full callsign until the controller abbreviates it. Say ready for departure while waiting, reserving the words take-off for an actual take-off clearance and its readback.

Once communication is established, shorten later transmissions. Give the callsign and the requested report rather than repeating your complete flight details every time.

Which ATC instructions must be read back?

Read back clearances and any instruction where a misunderstanding could create a runway, traffic or altitude conflict.

  • Runway assignments, runway entry or crossing instructions, and hold-short or holding-point instructions
  • Take-off and landing clearances
  • Assigned altitudes, headings and speeds
  • IFR routes, approach clearances and significant clearance amendments
  • Transponder codes and frequency changes
  • Altimeter settings or QNH when required by the local procedure

Roger only confirms that a transmission was received, while wilco means it was received and will be followed. Neither replaces a required readback. If part of a call was unclear, say say again or ask the controller to confirm the specific item; never fill in a missing number by guessing.

Use unable when you cannot safely comply, followed by a brief reason or alternative. A controller saying standby has not approved your request.

Why can ATC not hear or answer me?

Most ATC communication failures come from an inactive frequency, the wrong radio source, an unbound push-to-talk control or a misunderstanding of what the simulator supports.

  • Frequency still in standby: swap it into the active window before calling.
  • Wrong COM radio selected: match the audio-panel transmit selector to COM1 or COM2 as required.
  • Avionics not powered: check battery, avionics and radio power rather than only the displayed frequency.
  • Wrong facility or out of range: confirm that the frequency belongs to the controller responsible for your position.
  • Voice input not supported: many built-in ATC systems require menu selections and do not interpret ordinary microphone speech.
  • Microphone or push-to-talk fault: verify the selected input device, operating-system permission and button binding. Duplicate bindings can cause a stuck or silent transmitter.
  • No controller present: live networks only provide ATC where a controller is connected. At an uncontrolled airport, use traffic announcements instead of waiting for a clearance.
